PMA has conducted over 400 conferences, conventions, annual meetings, trade shows, events, seminars and symposiums in the past 24 years. We will provide a Certified Meetings Professional and experienced meeting planners for your non-profit, trade or professional association to:

  • develop a detailed Request for Proposal (RFP) and distribute it to selected properties, evaluate responses, and negotiate contracts with meeting facilities
  • conduct comprehensive site inspections of properties under consideration, and prepare a report to the planning committee
  • develop a detailed conference budget and provid monthly income and expense reports to the volunteer committee - working within the conference budget to assure the financial goals are realized
  • develop sponsorship and advertising opportunities, assist with the marketing, promotion, and recognition of sponsors and other supporters
  • develop the exhibit prospectus, and work with exhibitors to assist them with their drayage, electrical and other needs, contract with an exhibition service company, assign booth locations and manage the exhibit hall
  • participate in committee meetings and prepare minutes
  • apply for CEU's and track and administer CE credits
  • prepare the promotional materials about the meeting, provide graphic design and marketing services to promote the meeting
  • provide registration services, receive, record and acknowledge registrations, monitoring counts and anticipated attendance, serve as liaison to the host facility regarding meeting set up, guarantees, food and beverage and speaker needs
  • contact and confirm speakers selected by the volunteer committee, coordinate speakers' audio-visual requirements, handouts, room set-up, obtain background information for inclusion in the brochure and composition of speaker introductions, compose speaker thank yous; purchase their gifts or prepare their honorariums, compose, collect, and tally speaker evaluation forms
  • prepare applications for discounted Convention Cancellation & Interruption Insurance
  • design customized giveaways for attendees
  • prepare a detailed resume of the conference schedule and requirements to the host property, review the BEO's for accuracy, and participate in a pre-conference planning meeting with key conference service staff
  • prepare, order, proof, and ship directional, session, and sponsorship signs
  • prepare the program book for distribution to attendees, compose copy, create camera-ready artwork, oversee design, layout, proof, printing, and ship to meeting facility.
  • provide experienced on-site meeting planners to attend/facilitate pre-conference meeting with key hotel service staff and to serve as liaisons to conference facility, exhibitors, speakers, and registrants
